How to use this tool

Create a clear mileage log

Log odometer details for vehicle reimbursement. Start with a blank document or load the local sample, check the preview, then print or save a PDF. Download a JSON backup separately when you want to restore an editable draft.

What is this document?

This mileage log is a business document used when vehicle journeys must be recorded for business records or reimbursement. Log odometer details for vehicle reimbursement.

Best for

people tracking business travel distances and trip purposes.

When to use it

Use it when vehicle journeys must be recorded for business records or reimbursement.

Use a different record when

an expense report containing unrelated receipts and purchases.

1. Add the essentials

  • Driver and vehicle
  • Journey date, route and business purpose
  • Starting and ending odometer readings
  • Miles or kilometers for each journey
  • Applicable exact reimbursement rate

2. Review before sharing

Check actual journey records, units, rate eligibility and the applicable period. The calculator does not choose or verify a tax authority's rate for you.

3. Keep a backup

Local browser storage is convenient, not a backup. Download a backup file when you need a portable copy, then store it somewhere you control.

Field-by-field check

  • Driver and Vehicle: identify whose journeys are recorded and the vehicle used.
  • Route and Purpose: record the actual start, destination and reason for each journey.
  • Odometer: enter decimal readings in the selected unit; the end reading must not be below the start reading.
  • Rate per mile / km: enter the rate in the selected currency, for example 0.725. Do not enter 72.5 when you mean 72.5 cents.
  • Results: the exact decimal rate is multiplied by distance, then each journey's reimbursement is rounded half up to the currency's minor unit. Miles and kilometers remain separate.

A practical mileage log example

A driver logs date, start and end location, purpose, miles, and vehicle information for each trip.

Start from a completed local example

Select Load Sample in the editor to populate a completed example for this tool. Review it against your own record, then use Export to print or save a PDF. Choose a JSON backup separately to preserve an editable Formnivo draft.

How the next document differs

  • Expense Report: Log employee expenses, receipts, and tax components. Create it only when the next business event has actually occurred.

Common mistakes to avoid

  • Using this mileage log when it is not the right record. Use it when vehicle journeys must be recorded for business records or reimbursement.
  • Mixing miles with kilometers or entering cents as whole currency units.
  • Assuming the sample rate is a current official rate or that every recorded journey is eligible.
  • Relying on browser storage as the only copy. Export a JSON backup before clearing site data or changing devices.

Official country-source notes

Requirements change by jurisdiction. Use the country selector in the editor, then verify applicable rules with the relevant authority before relying on this document.

Choose a country in the country registry to see only that jurisdiction's reviewed scope, official sources, and research limits. The full source register remains available for audits; unrelated country sources are intentionally not attached to this generator.

Does the calculator decide which mileage rate I can claim?

No. Enter the rate that applies to your situation and period after checking the relevant policy or authority. The sample is illustrative, not tax advice.

Where does my document data go?
